Absence Procedure
How to report an absence, what counts as authorised, and our expectations for attendance.
Reporting an Absence (First Day)
Please tell us before the start of the school day on each day of absence unless agreed otherwise.

What to Tell Us
- Clear reason for absence (e.g., illness, medical appointment, religious observance)
- Day(s) affected and expected date of return
- Updates each day if the absence continues, unless agreed with school
- Provide evidence where required (see below)
If we do not hear from you, we operate a first-day calling system and may conduct welfare checks in line with our safeguarding procedures.
Authorised Absence
- Illness where the pupil is not well enough to attend
- Medical or dental appointments that cannot be arranged out of school time
- Religious observance (by prior notification)
- Exceptional circumstances (only with prior approval from the Headteacher)
Unauthorised Absence
- Holidays taken during term time without approval
- Absence without a reason provided
- Late arrival after registers close (recorded as unauthorised)
Where absences are unauthorised, the school will follow our attendance procedures and may involve the local authority.
Evidence We May Request
- Appointment letters/cards for medical/dental visits
- Medication/GP note for extended illness
- Written request and supporting information for exceptional leave
Attendance Expectations
We expect regular attendance so that pupils can make the best possible progress. We monitor attendance closely and work with families where patterns of absence emerge.
Key Points
- Parents/carers must ensure children attend punctually every day unless unwell.
- Please arrange routine appointments outside school hours wherever possible.
- Request permission for exceptional leave well in advance.
Persistent Absence
Attendance below 90% is nationally classed as persistent absence. We will meet with families and create a support plan where appropriate.
